What drives the cost of venue lighting: six factors behind a quotation
Why decorative lighting for a game center or gaming cafe is quoted per project, and the six things that move the number: floor area, module count, built-to-size pieces, control zones, shipping method, and installation.
Venue lighting is quoted per project rather than priced per piece, and owners reasonably want to know why, and what they can do to move the number. This guide explains the six factors that decide a quotation, so a budget conversation can start before the floor plan is drawn.
1. Floor area and ceiling height
Area decides how many fittings a scheme needs to read as complete. A 300 m² gaming cafe with a low ceiling and a 1,500 m² arcade with a 6 m ceiling are different projects even if they use the same modules. High ceilings need larger feature pieces to register from the floor, and more of the ceiling is visible, so more of it is lit.
2. Module count and type
Standard modules are the most economical part of a scheme, and the count is the largest single line. Feature pieces cost more each but there are few of them; a typical venue has one or two. A scheme built mostly from repeated standard modules with a single feature piece is the most efficient structure, and it is also the one that usually looks best.
3. Built-to-size pieces
Entrance frames, tunnel doors, arches, column wraps, and linear runs are built to the dimensions of the venue. They are quoted from the opening sizes and lengths on the floor plan, so a plan with dimensions produces a firmer quotation than a plan without. Modules and ceiling feature pieces, by contrast, are standard products in fixed sizes and are not customized beyond printing.
4. Control zones
Each zone that should change color independently has its own controller. More zones mean more controllers and more wiring, and also a more flexible venue. A cafe that wants separate scenes for booths, stage, and corridor needs at least three zones; an arcade that wants the children’s area, the racing zone, and the entrance to behave differently needs the same. Deciding the zones early keeps this line predictable.
5. Shipping
Modules ship in export crates by sea or by air from the factory in China. Sea freight is far cheaper per cubic meter but takes weeks; air freight arrives in days. Feature pieces ship in sections and take crate volume. The quotation states the method, and it can be changed if the opening date moves.
6. Installation
The default is that the venue’s local contractor installs from our drawings with remote guidance, which keeps installation out of the quotation entirely. If the venue prefers our own crew on site, that is quoted separately per project, depending on the size of the scheme and the location.
What is not a cost factor?
Customization of modules is not a cost line, because modules are not customized beyond printing. Printing a logo or artwork on a module is a small item. The color scheme is programmed, not built, and costs nothing to change later.
How do you get a quotation?
Send a floor plan with dimensions, a few photographs, the opening date, and a rough budget if you have one. A first 2D lighting plan is delivered within 3 working days, 3D renderings within 7 working days, and the quotation follows the approved plan, itemized and with a confirmed delivery date.

Questions this guide answers
Why is venue lighting not priced per piece?
Because the same modules make very different projects: area, ceiling height, zoning, built-to-size items, and shipping all move the number. The quotation is itemized against an approved lighting plan.
Does customizing modules add cost?
Modules are not customized beyond printing, and printing a logo or artwork is a small item. Colors are programmed, not built, so a change of scheme costs nothing later.
What is needed for a quotation?
A floor plan with dimensions, a few photographs, the opening date, and a rough budget. A 2D lighting plan follows within 3 working days, 3D renderings within 7, and the quotation follows the approved plan.
